Map the workflow before connecting tools

We identify the trigger, source of truth, required data and people responsible for each step. Exceptions matter as much as the happy path: missing fields, duplicate records and a service being unavailable can change the outcome. That map helps decide what to automate and where human approval should remain.

Use the right level of integration

Zapier or Make may be enough for a straightforward handoff between supported tools. A custom API integration can suit more complex rules, data transformations or backend pipelines. We review authentication, rate limits and service capabilities before agreeing the approach and the ongoing operating costs.

Make failures visible

A workflow needs a way to show when something has gone wrong. We scope logging, notifications and recovery behaviour with the integration, and use representative data to test the agreed cases. Credentials and access should be limited to what the workflow needs, with ownership and maintenance responsibilities defined at handover.

Can you connect the tools we already use?

Often, yes. We first check whether they offer suitable APIs, webhooks or supported connectors and whether your subscription allows access.

Do we need to replace our existing software?

Not necessarily. An integration can connect existing systems. We only recommend a change when the current tool cannot support the agreed workflow.

What happens if an external service changes?

Integrations need maintenance when APIs or business rules change. We discuss ownership and the support arrangement when defining the project.
